This article explains the Renewals page, where you inspect the monthly instruction file ArcPrime sends to your annuities provider, review urgent corrections, and configure the workflow.
Prerequisites
You are an Admin, Inhouse Counsel, or Internal Paralegal. The Renewals entry appears once a provider is named with a recipient, or once ArcPrime has activated a provider baseline for your workspace.
Steps
Review provider reports
Click Settings in the sidebar and open Workflows & Automation > Renewals. The Reports tab is selected.
Read each row. It shows when the report was generated, the provider name, and how many rows it holds. Test reports are marked TEST.
Click Download report to save the workbook. Reports are read by downloading them, since they can hold more rows than fit on screen. The file lists only the cases that need provider action, with a Pay or Stop instruction for each.
When a report is waiting for you, click Review and send. The dialog restates what will be sent and lists the recipients; click Approve and send to confirm. Sending never confirms that a fee was paid.
Use the other links as needed: Prepare provider resend creates a linked report from a retained workbook, and Send myself a historical copy emails a past report to you alone.
Click Generate manual report to build a report from current decisions outside the schedule, or Send myself a mock email to preview the email without touching provider state.
Review urgent corrections
Click the Urgent corrections tab.
Read the explanation at the top. When a decision changes after the provider was already told otherwise, ArcPrime sends a correction about an hour after the last change. Saving a change does not send an email by itself.
Read each row: the docket, the instruction (Pay or Stop all future renewals), its status, and the reason. Follow the Source communication and Delivery report links to the reports involved.
Act on rows that say manual follow-up is required, for example when the provider does not support automatic corrections.
Configure the workflow
Click the Configuration tab.
Enter the Annuities provider name, the To recipients, and the Email subject. Your internal paralegals and admins are copied on every real send.
Choose a Workflow mode: Automatic generates and sends on the 1st of each month, Generate-only prepares the file for you to send from Reports, and Manual leaves generation to you.
Set the Fee window in months. The description shows the next send date and the fee due range it will instruct.
Under Statuses that stop renewals, switch on each case status that should stop payment. A Do Not Renew pruning decision stops payment on its own.
Set the Entity size for the United States and Canada, then click Save.
Note: The provider pays by default. Closed cases and Do Not Renew decisions stop all future payments, and clearing every stop resumes payment without a new Renew decision.
