How to Create and Update Cases by Email

This article explains how to populate a patent case by emailing its filing documents to your workspace address.

  1. Ask outside counsel to send the filing documents to your workspace address, or forward the filing email yourself. Include the case's Internal ID or External ID in the subject.

  2. Attach the filing receipt or application data sheet. The specification is optional and can be a Word or PDF file; figures are optional too.

  3. ArcPrime reads the application number, filing date, and counsel's docket number from the email and matches the unfiled case.

    • A case with no application number or filing date is treated as waiting for its filing. The email updates it rather than creating a duplicate.

    • If the email names parent applications that are not yet in ArcPrime, minimal parent records are created and linked as priority claims.

  4. Open the patent from the patent list. The filing details, documents, and outside counsel docket number appear on the record, and the email is filed under Correspondence.

  5. If nothing matches, ArcPrime leaves case creation to you and replies to the sender that no case matched. Add the case by hand, then resend the email with its ID.

Docket Number Reminders

When a case reaches the outside counsel stage without an external docket number, ArcPrime emails a reminder to counsel and your paralegals. Its subject is External docket number still pending. It repeats on a schedule until the number is entered on the case or the reminders are exhausted.

Note: Emails from unknown senders are accepted only when they come from a domain that belongs to one of your outside counsel firms. Ask your administrator to add any missing domains under Managing Outside Counsel.
